Most active file tools run locally in your browser. Word to PDF, Excel to PDF and PowerPoint to PDF temporarily send the selected document to our Office rendering service; those files are used only for conversion and are not permanently stored.
1. Scope and operator
This policy applies to ToTube Tools at tools.totube.online and its official hosted versions. ToTube Tools is part of the ToTube ecosystem. For privacy questions or requests, contact support@totube.online.
2. Files and text processed with the tools
Most active image, PDF, document and developer tools process selected files or pasted text inside your browser. That locally processed content is not uploaded to ToTube Tools, stored in a ToTube Tools database or made public. Results are created as temporary browser objects and disappear when you close or refresh the relevant session unless you download them.
Word to PDF, Excel to PDF and PowerPoint to PDF require a full Office-compatible renderer to preserve layout. For these three tools only, the selected document is sent over the active connection to the Office conversion service, held only in temporary processing memory or workspace, and deleted when the request completes or fails. The generated PDF is returned directly to your browser. ToTube Tools does not intentionally retain either file in permanent application storage.
Always keep your original files. Avoid processing content you are not authorized to use, and do not send private files by email when requesting support.
3. Information we may receive
- Technical request data: hosting and security providers may process IP address, request time, requested URL, browser or device information, response status and security signals needed to deliver the site, prevent abuse and diagnose failures.
- Messages you send: if you contact us, we receive your email address and the information in your message.
- First-party product events: we may record tool page views, starts, successful or failed processing, downloads, broad browser/device type, locale, format, processing time, stable error code, campaign parameters and page path. Anonymous browser and session identifiers are stored only as one-way hashes. Events never include files, filenames, file contents, Base64 payloads, blob or result URLs, extracted text, pasted tool input or document contents.
4. Cookies, local storage and similar technologies
The public tools use local browser storage for random anonymous visitor and session identifiers used by first-party product analytics. These values do not contain a name, email address or file information. The admin panel uses a secure, HTTP-only session cookie available only to authorized administrators. ToTube Tools does not intentionally set third-party analytics cookies. Essential hosting, security or consent services may use cookies or similar storage when necessary to provide their function.
5. Google advertising and third-party vendors
ToTube Tools may use Google AdSense or other advertising partners to support the free service. When Google advertising code is active, third-party vendors, including Google, may place and read cookies in your browser or use web beacons, IP addresses and other identifiers to collect information as a result of ad serving on this website.
Google and its advertising partners may use advertising cookies to serve ads based on your prior visits to ToTube Tools or other websites. You can control personalized Google advertising through Google Ads Settings. You can also learn how Google uses information from sites and apps that use its services.
If other third-party advertising vendors are enabled, their identities and privacy choices will be presented through the applicable consent interface or added to this policy.
6. Consent for Google services
Before personalized Google ads are served to users in the European Economic Area, the United Kingdom or Switzerland, ToTube Tools must use a Google-certified consent management platform that supports the IAB Transparency and Consent Framework. That interface must provide required disclosures, collect affirmative choices where required and explain how to withdraw or change those choices. Google advertising must not be activated for those users until this consent setup is complete.
7. Why information is processed
Where data protection law applies, technical request data is processed to provide the service, maintain security, prevent fraud and abuse, and pursue the legitimate interest of operating a reliable website. Contact messages are processed to answer your request. Optional advertising or analytics that requires consent will rely on consent, which you may withdraw without affecting earlier lawful processing.
8. Service providers and disclosures
We may use infrastructure, hosting and security providers to deliver the website. They may process limited technical data on our behalf or under their own legal responsibilities. If Google advertising or analytics is enabled, Google may receive the data described above. We may also disclose information when reasonably necessary to comply with law, protect users, investigate abuse or defend legal rights. We do not sell the files or pasted data processed by the browser tools.
9. Retention
ToTube Tools does not retain files or pasted content processed locally by active tools. Office documents and generated PDFs handled by the three server-rendered Office converters are temporary and are removed when each conversion request completes or fails. Raw first-party analytics events are normally retained for 90 days, normalized processor errors for 180 days and product feedback for up to 365 days. Aggregated daily metrics and Search Console reporting may be kept longer to measure trends. Expired admin sessions, login-attempt records and rate-limit buckets are regularly deleted. Support messages may be kept as long as needed to answer the request, maintain necessary records or resolve disputes.
10. International processing
Website providers may process technical data in countries other than your own. Where required, appropriate contractual or legal safeguards should be used for international transfers.
11. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, restrict or object to certain processing; receive a portable copy of certain data; withdraw consent; or complain to a data protection authority. Send requests to support@totube.online. We may need to verify your request. Because local tool files never reach us, we cannot retrieve or delete files that remain only on your device.
12. Children
ToTube Tools is a general-audience utility and is not directed to children under 13 or the minimum age required by local law. We do not knowingly request personal information from children. Contact us if you believe a child has provided personal information through a support message.
13. Security
We use reasonable technical and organizational safeguards appropriate to the service. No internet service can guarantee absolute security, so keep backups and avoid processing irreplaceable originals without a safe copy.
14. Changes to this policy
We may update this policy when the service, providers or legal requirements change. The effective date at the top will be revised for material updates. If a change materially affects consent-based processing, new consent will be requested where required.
